The following is a brief summary of our approach to delivering architectural services. Not all services are required or requested for each project.
Research:
We will begin the project by doing in-depth research into the existing facility programs, and the day-to-day functioning and future use of the project. We will also do research to identify any other facilities which may be of a similar use. We can evaluate the function of the other facilities to that proposed, with the possibility of incorporating elements of the researched facility into your project.
Site Visits:
If necessary we would go to various other similar buildings around the region in order to view their operations, layouts and programs and determine the pros and cons of any similar uses.
Interviews:
We would undertake interviews with the appropriate staff, board members, volunteers, employees or other stateholders to gain a better understanding of the needs, ideals and inter-relationships of the various functions of your project. We will discuss the proposed project with the appropriate local building authorities and address any preliminary concerns they may have.
Programming:
On completion of the research, interviews and possible site visits, we sit down with the owner's representatives and prepare a written program outlining the requirements of the proposed project. This detailed written program will help to draw out any critical areas or ideas which need to be communicated through the architecture of the building. Included in the programming will be the written and graphic presentation of concepts and ideas in inter-relationships. This information will be shared with our consultants for their input into the design/costing process.
Existing Facilities Survey:
While drawings sometimes exist of the existing facilities, we can send a team from our office to completely photograph, field verify conditions and measure the existing facilities. This may be needed to generate appropriate existing condition drawings for us to use in preparation of design and construction drawings for any expansions.
Design:
Working from our interviews and program, we will develop design concept drawings and submit them to you for review. Based on your comments we will revise and resubmit design drawings for confirmation prior to proceeding to construction documents.
Estimating:
During the design phase, we will undertake a cost opinion to establish the preliminary hard costs and soft costs budget for the proposed project. Costs may be developed based on estimated square foot costs or unit price take offs as requested.
Presentation:
On completion of our design process, we will prepare graphic presentation materials to submit to the local government planning/zoning or design review committee. On receipt of comments, we will continue to refine the design and presentation materials until you are satisfied that we have achieved our goals and are ready to begin CD's. During the design development phase, we will also undertake an additional cost opinion to reverify the preliminary hard costs and soft costs budget for the proposed project.
Approvals:
After preparation of the design and cost opinion information, we will seek your formal approval prior to proceeding to the construction drawings phase of the project. At this time we will work with you in preparing any graphic materials which will be needed for distribution to various organizations and/or public or private fund raising sources. Preliminary approvals will also be solicited from local building, planning and zoning authorities.
Construction Drawings (CD's):
Once the above has been completed and the financing or fundraising operation is undertaken and successful, we will begin at your direction the preparation of the construction drawings and specifications. During this phase of our services, we will provide complete architectural, civil, structural, mechanical, plumbing and electrical engineering drawings and specifications for the bidding and eventual construction of the proposed project. Included in our project manual will be a series of alternative bid pricing items which we will use in order to control the overall budget and prevent cost overruns or rebidding of the project. During the construction drawing phase we will conduct contractor interviews and screening, along with the client. As desired, we will work with you on selecting general contractors for invitation to bid, or negotiate with construction managers for their involvement in the construction process. We can submit AIA Contractor Qualification questionnaires to all contractors and conduct interviews as you so desire.
Invitation to Bid:
On completion of the contract documents, we will submit the plans to the local building authorities for review, work with the construction manager or provide invitations for bidding to the selected general contractors. We will coordinate and control the bidding procedure by distribution of drawings and specifications, and by holding a pre-bid meeting. For renovation projects we will conduct walk-thru site visits for all general and subcontractors in order for these companies to view the existing conditions under which the project will proceed.
Bid Review:
On completion of the bidding process and receipt of bids at a specific time, date and place, we will prepare a bid tabulation sheet for bid review. We will distribute the tabulation sheet as required and meet with the appropriate members of your organization to do a bid evaluation as needed to determine who is the lowest and best bidder for the project.
Contract Preparation:
On completion of the bid tabulation and review, and after everyone has agreed as to the lowest and best bidder, we would assist you in preparation of a construction contract and owner's notice to proceed.
Contract Administration:
Once a contractor has been hired and is proceeding with the construction, we can provide the following services.
